Position Overview:

The objective of this position is to provide scheduling, administrative, secretarial, and coordination support to our Applied Services team. Applied Services is Applied Energy System’s comprehensive field services division, providing a full range of site services- from high and ultra-high purity process piping installation, to analytical testing, equipment commissioning, training, maintenance and repairs.

Responsibilities Include:

  • Effectively oversee, track, and coordinate field service activities, schedules, and time
  • Support field service personnel when they are on-site
  • Act as a contact person for customer during open jobs
  • Order project materials and components
  • Maintain field inventories
  • Create and manage accurate project files and documents
  • Interface and correspond with customers regarding project status and schedule
  • Track project costs and man-hours
  • Collect, review and submit expenses reports for the team
  • Assemble field proposals and submittals
  • If work scope changes, communicate with customer and Customer Service/Sales regarding change orders and financial impact
  • Interact internally with Sales, Engineering, and Production to coordinate equipment deliveries and site schedules
  • Generate job profitability reports
  • Make travel arrangements as needed
  • Assist with closing out projects and sending customer required documentation
  • Schedule meetings as necessary
  • Manage the jobs in company MRP/ERP system

Required Experience:

  • High school degree or higher is preferred
  • 1 – 2 years’ customer service and/or secretarial experience or 1-2 years’ in construction and/or contracting administrative support position
  • Excellent computer skills including Microsoft Word, Excel, Office, Project and Outlook
  • Mathematical aptitude
